Notion AI's effectiveness is strictly capped by the quality of your workspace. A sparse, poorly maintained workspace produces shallow AI answers. The tool rewards teams who already have good knowledge management habits. This is the most important constraint to understand before adopting it.
In May 2025, Notion discontinued the standalone AI add-on and bundled AI into Business ($20/user/month). Free and Plus users receive 20 lifetime AI responses — not monthly, lifetime. This effectively doubles costs for teams previously on Plus, and is Notion's most controversial pricing decision.
Custom Agents are consumption-billed on top of the Business plan. Admins purchase credits, set per-agent limits, and track usage in a dashboard. They were free through May 2026 beta; they are now credit-metered. Budget this before deploying agents at scale.
Databases with more than 5,000 records experience measurable slowdown in filtering, sorting, and editing. Notion is strong with text-heavy knowledge management. It is not a replacement for purpose-built databases at high record volumes — Airtable handles 50,000+ records smoothly.
Notion AI runs entirely in the cloud and requires an internet connection for every feature. There is no offline mode and no on-device processing. It also operates within its connector set — it cannot interact with tools you have not explicitly connected.
